Creating Reports in Zoho CRM

Overview

Zoho CRM Reports allow users to organize, filter, summarize, and analyze data from any module in the CRM.

Reports can be customized to display specific fields, group records, calculate totals, and filter data based on criteria such as dates, statuses, or record types.

Creating a New Report

Step 1: Open the Reports Module

  1. Navigate to Reports.
  2. Click Create Report.

Step 2: Select a Module

Choose the module you want to report on.

Example:

  • Insurance
  • Contacts
  • Opportunities
  • Activities

If needed, you can also select related child modules.

Click Continue.

Step 3: Name the Report

  1. Enter a report name.
  2. Select the folder where the report should be stored.
  3. Click Done.

Configuring Report Columns

Columns determine which data appears in the report.

Example Insurance Report

Common fields include:

  • Contact Name
  • Policy Name
  • Policy Renewal Date
  • Premium Amount
  • Coverage Amount
  • Policy Type
  • Plan Type

You can:

  • Add new columns
  • Remove unnecessary columns
  • Rearrange columns as needed

Only the selected columns will appear in the final report.

Using Row Groups

Row Groups allow records to be categorized and summarized.

Example

Group by:

Policy Type

This will organize records into categories such as:

  • Life Insurance
  • Critical Illness
  • Group Benefits

The report will also display the number of records within each category.

Using Aggregate Columns

Aggregate columns calculate totals automatically.

Common examples include:

Sum of Coverage Amount

Displays the total coverage value across all records in the report.

Sum of Premium Amount

Displays the total premium value across all records in the report.

This is useful for portfolio analysis and production reporting.

Applying Filters

Filters limit the records included in the report.

Example: Current Year Policies

  1. Open the Filters section.
  2. Select the desired field (such as Effective Date).
  3. Choose the appropriate condition.

Example:

Effective Date = Current Full Year

The report will only display records matching the selected date range.

Saving the Report

Once configuration is complete:

  1. Click Save.
  2. Verify the report name and folder.
  3. Save the report.

The report will then be available under the Reports module.
