BluMortgage recognizes unique contacts based on an email. Sometimes, when an email for a contact is not present, the CRM will associate duplicates as unique contacts, even if they have the same first and last name. Merging duplicates in Zoho CRM is essential to ensure your data remains clean. You can handle duplicates either manually for specific records or through an automated de-duplication tool for the entire module.
If you know exactly which records are duplicates, use this manual method:
Open the module where the duplicate is.
Click on the specific record you want to keep.
Click the More (three dots) icon in the top right corner.
Select Find & Merge Duplicates.
In the search pop-up, specify criteria (e.g., Email is [x]) to find the matching records.
Select the records you want to merge (up to 3 at a time) and click Next.
Select the Master Record: Choose which record’s values should prevail. You can mix and match fields from different records to ensure the most accurate data is saved.
Click Merge.
If you want Zoho to scan the entire module for you:
Go to the desired module (e.g., Contacts).
Click Module Tools (the three dots icon near the "Create" button).
Select Deduplicate [Module] Records.
Choose the fields you want Zoho to check (e.g., Email, Phone, or Mobile).
Click Find and Merge Duplicates.
Zoho will run a background task. Once finished, you will receive a notification.
Click the notification to view the "Duplicate Records" list and resolve them one by one.
